Summary of the Role

We are seeking an exceptional Executive Assistant to the President & Chief Executive Officer to operate at the center of the firm’s execution, client experience, and day-to-day operations.

This is a high-impact, high-trust role suited for a refined and highly capable professional with strong judgment and a natural sense of client service. The ideal candidate is equally comfortable managing complexity and ensuring flawless execution as they are contributing to a thoughtful, highly personalized experience for a sophisticated clientele.

Acting as a true extension of the President & CEO and the firm, you will bring structure, clarity, and precision to priorities, while contributing to a seamless, consistent and elevated experience for clients, partners, and the team.

Executive Support to the President & CEO

  • Act as a trusted partner to the President & CEO, ensuring alignment of priorities, schedules, and strategic objectives
  • Manage a complex and evolving calendar with rigour, ensuring focus and preparedness for all engagements
  • Anticipate needs, manage follow-ups, and ensure disciplined execution of commitments, including highly confidential matters
  • Coordinate meetings, travel, and key activities with discretion and attention to detail
  • Prepare high-quality presentations, correspondence, and briefing materials
  • Support special projects and strategic initiatives

Business Coordination & Leadership Support

  • Provide support to senior team members including scheduling, travel coordination, and select client or team engagements
  • Act as the central point of coordination for meetings and projects, ensuring alignment, organization, and execution
  • Ensure all meetings are prepared, organized, and executed to a high standard
  • Contribute to a culture of performance, reliability, and follow-through through disciplined execution

Client Experience, Marketing & Events

  • Deliver a refined, highly personalized level of service to clients, prospects, and partners
  • Serve as a key point of contact, managing client inquiries, requests, and communications with responsiveness, professionalism, and discretion
  • Coordinate and manage client meetings, including scheduling, preparation, and follow-ups
  • Support relationship management efforts by fostering authentic, thoughtful, and lasting connections
  • Partner closely with Marketing to execute all events, activities, sponsorships and key initiatives
  • Lead the coordination and delivery of events, sponsorships, and key initiatives for clients, prospects, partners, and the internal team
  • Manage calendars, communications, invitations, logistics, and follow-ups
  • Track budgets and expenses to ensure alignment with approved plans

Team Experience, Culture & Office Management

  • Contribute to maintaining a consistent brand image and high standard of quality across all touchpoints
  • Support the development of a strong internal culture and elevated team experience
  • Organize team events and activities, and recognize key milestones
  • Contribute to onboarding and integration of new team members
  • Oversee the day-to-day functioning of the office, maintaining a professional, welcoming, and well-organized environment
  • Act as the primary point of contact with building management and external vendors
  • Proactively manage inventory, supplies, and corporate materials
  • Perform regular expense reconciliation, budget tracking and financial coordination

Qualifications & Experience

  • 10+ years of experience supporting senior executives, ideally within a client-facing or professional services environment
  • Proven ability to deliver high-end client service and manage relationships with a sophisticated and demanding clientele
  • Experience in event coordination, corporate hospitality, or high-end service environments is an asset
  • Strong organizational and time-management skills
  • Excellent communication skills, combined with a high level of professionalism and discretion
  • Proficiency in Microsoft Office Suite and modern collaboration tools
  • Full bilingual proficiency in French and English*, both written and verbal

*This role involves interaction with clients, partners and stakeholders operating nationally and globally. Bilingualism in French and English is therefore a requirement of this role.
